How to Watermark a PDF — Free on Mac, Windows, iPhone & Android
How to watermark a pdf covers everything from a simple DRAFT stamp to your logo on every page — without Adobe Acrobat. This guide covers the fastest free method in any browser, every option the tool offers, and the built-in options on Mac and in Microsoft Word.
Quick answer: Go to rapidtools.online/watermark-pdf, upload your PDF, type your watermark text (for example CONFIDENTIAL or DRAFT) or upload a logo, choose Medium opacity and Diagonal Centre, then click Apply Watermark & Download. Every page is stamped, and your file never leaves your browser. Works on Mac, Windows, iPhone, and Android.
A watermark marks who a document belongs to and how it may be used. Common reasons:
DRAFT — so a preliminary version is not treated as final.
CONFIDENTIAL — signals restricted circulation on legal, HR, and financial documents.
Your name or company — marks proposals, portfolios, and reports as yours.
SAMPLE — for work samples or templates you do not want used as they are.
Your logo — branding on every page of a client document.
ℹ️ Privacy matters here: the documents people watermark — NDAs, draft contracts, board reports — are exactly the files you should not upload to a stranger’s server. RapidTools adds the watermark with JavaScript in your browser, so the file never leaves your device.
1
Free Browser Tool — Any Device
The fastest method on any platform. No software, no account, and your PDF is never sent to a server.
Works in Chrome, Safari, Firefox, and Edge on computers, phones, and tablets.
2
Upload your PDF
Click the upload area or drag your PDF onto it. The file loads into your browser.
3
Choose Text Watermark or Image Watermark
Type your text, tap a quick-select button (CONFIDENTIAL, DRAFT, or SAMPLE), or upload a logo.
4
Choose opacity, orientation, and placement
Pick Light, Medium, or Heavy, or use the slider. Then pick one of six positions and either a single stamp or a tiled pattern. A short preview line describes what you chose.
5
Click Apply Watermark & Download
The watermark is added to every page and the new PDF downloads. Open it and check a few pages before you send it.
Text and Image Watermark Options
Text watermark. Use a quick-select button or type up to 80 characters. Popular choices:
DO NOT COPY or FOR REVIEW ONLY — for documents sent for comment.
COPY or VOID — to tell copies and cancelled documents apart from originals.
ATTORNEY–CLIENT PRIVILEGE — for legal documents shared within a case team.
Font size starts at 52 pt (you can choose 12 to 120). The tool suggests 48–60 pt for diagonal stamps and 36–48 pt for centred ones. Colour starts at red, the usual choice for CONFIDENTIAL and DRAFT; grey suits subtle brand marks. Under Advanced options you can switch between bold and normal text.
Image watermark. Upload a PNG, JPG, or WebP image and set its size as a percentage of the page width (it starts at 40%). A PNG with a transparent background works best — only the logo shows on the page. A JPG always has a solid background, so it shows as a rectangle.
Single stamp puts one watermark on each page at your chosen position. Tiled repeats smaller copies of your watermark across the whole page, so no part of the page can be cropped out unmarked. Tiled works best with short text — a long phrase makes the pattern crowded.
Opacity Guide
Opacity is the most important setting: too heavy and the page is hard to read, too light and the mark goes unnoticed. The tool’s presets are Light (25%), Medium (40%), and Heavy (65%), and the slider goes from 5% to 95%.
Use
Suggested opacity
Position

Medium to Heavy (40–65%)

CONFIDENTIAL on a document people must read
Light to Medium (25–40%)

VOID on a cancelled contract
Heavy (65%)
Diagonal Centre or Full width

Light (15–25%)
Diagonal Centre or Bottom Right

💡 Diagonal stamps look different over dense text than over white space. If the result is too strong, lower the opacity by 10–15% and apply it again to your original file.
2
iPhone and Android — In Your Browser
iPhone and Android do not have a built-in way to stamp a watermark on every page. The browser tool works the same on a phone, with no app to download.
Pick it from Files, iCloud Drive, Google Drive, or Downloads. It stays on your phone.
3
Type your text or choose a logo, then pick opacity and position
For a logo, use a PNG with a transparent background.
4
Tap Apply Watermark & Download
On iPhone the file goes to the Downloads folder in the Files app; on Android it goes to Downloads.
💡 On iPhone, long-press the downloaded PDF in Files and tap Share to send it by Mail, Messages, or AirDrop.
3
Mac — Preview (One Page at a Time)
Preview has no watermark tool, but you can add a text box to each page as a simple mark.
1
Open the PDF in Preview
Double-click the file, or right-click → Open With → Preview.
2
Choose Tools → Annotate → Text
A text box appears on the page. Type DRAFT or CONFIDENTIAL.
3
Make it large and light
Use the font controls to make the text big and a light grey colour. Preview text boxes have no opacity setting, so a light colour stands in for transparency.
4
Repeat on every page, then save
Preview adds the text to one page at a time. Choose File → Export as PDF to save a copy.
⚠️ Limitation: Preview adds the text as an annotation, which anyone can select and delete in Preview or another PDF editor. For a multi-page document or a mark drawn into the page itself, use Method 1.
4
Microsoft Word — Before You Make the PDF
If the document started in Word and you still have the Word file, you can add the watermark there before exporting.
1
Open the document in Microsoft Word
This only works for files you have in Word — not for PDFs you received.
2
Go to Design → Watermark
Pick a preset such as CONFIDENTIAL or DRAFT, or choose Custom Watermark for your own text or a picture.
3
Choose the layout
Diagonal or horizontal, plus font, size, and colour.
4
Save as PDF
Choose File → Save As and pick PDF as the file type.
Watermarks for Common Documents
NDAs and contracts under negotiation: DRAFT, Medium, Diagonal Centre, red. When the document is signed, run the original again with a different mark such as SIGNED COPY.
Board and investor reports: CONFIDENTIAL, Medium, Diagonal Centre. For a numbered list of readers, make one copy per person (for example CONFIDENTIAL – COPY 4) so a leaked copy can be traced.
Proposals and sample work: SAMPLE or FOR REVIEW ONLY at Light opacity, so the quality still shows.
Client documents with branding: your logo as a PNG with a transparent background, Light opacity, centred.
Legal document sets: CONFIDENTIAL, Medium to Heavy, diagonal. If you also Bates stamp the set, add the watermark first so the Bates number sits on top.
Every page: scroll through the beginning, middle, and end of the downloaded file.
Readability: the text underneath should still be easy to read. If not, lower the opacity and apply it again.
The cover page: dark backgrounds or large images can hide a watermark.
Keep your original: always keep the file without the watermark, so you can make a new version later.
Can a Watermark Be Removed?
RapidTools draws the watermark into the page content itself — it is not a separate annotation, so it cannot be hidden or switched off in a PDF viewer. The text and images underneath stay as they were, so text is still selectable and searchable.
A watermark is a label, not a lock: someone with a PDF editor that can edit page content may still be able to delete it. For documents that must stay private, also use password protection, and share them only with people you trust. To remove a watermark from your own file, see how to remove a watermark from a PDF.
