⚠️ Note: Document requirements vary by state, transaction type (residential vs. commercial), and whether you are the buyer, seller, or agent. Always verify required documents with your real estate attorney, agent, or title company.
State Disclosure Requirements
Seller disclosure forms by state — what to include
Disclosure requirements vary significantly by state. Knowing which forms apply to your transaction tells you exactly what needs to be in the merged package you share with buyers, agents, and title.
StateRequired Form(s)Key Notes
California
Transfer Disclosure Statement (TDS)
+ Seller Property Questionnaire (SPQ)
+ Natural Hazard Disclosure (NHD)
Mandatory for all residential 1–4 unit sales. TDS completed by seller; NHD ordered from a third-party provider. Megan's Law sex offender proximity notice also required. Buyer has 3-day right to rescind after receipt of all disclosures.
Texas
Seller's Disclosure Notice
TREC Form OP-H
Required for 1–4 family residential sales. "AS-IS" clause in contract does not eliminate the disclosure requirement. Sellers must disclose known defects and conditions. Excludes foreclosures and estate sales in most cases.
Florida
No mandatory state disclosure form
Common law duty applies
Florida has no statutory form, but sellers have a common-law duty to disclose all known material defects that are not readily observable. AS-IS contracts do not eliminate this duty. Most agents use the Seller's Property Disclosure (SPD) as best practice.
New York
Property Condition Disclosure Statement (PCDS)
Required before the contract is signed
Since March 20, 2024, sellers of most 1–4 family homes must give the buyer a completed PCDS before the contract is signed. The old option of a $500 credit at closing instead of the form was removed. Co-op and condo sales are generally not covered. Last reviewed: October 2026.
Illinois
Residential Real Property Disclosure Report
IDFPR-approved form
Covers all known conditions within the past 5 years: structural issues, flooding, environmental hazards, roof, plumbing, electrical, HVAC. Sellers must disclose even if repaired. Provided before or simultaneously with the contract.
Washington
Seller Disclosure Statement
Form 17 (NWMLS)
Comprehensive form covering title, water/sewer, structural, environmental, and neighborhood conditions. Required for most residential transactions. Buyer has 3 business days to rescind after receipt.
Colorado
Seller's Property Disclosure (SPD)
Colorado Division of RE form
Not legally mandated but universally expected. Covers radon, methane, wildfire risk, HOA, title, structure, and systems. Sellers who skip the SPD typically face buyer requests for significant credits or inspection contingency extensions.
Georgia
Seller's Property Disclosure Statement
GAR Form F301
Recommended but not legally mandated. Common practice to complete. Georgia's due diligence period (typically 7–14 days) is where buyers conduct all inspections and can walk away for any reason — making complete disclosures critical.
⚠️ Disclosure requirements change frequently. Verify current requirements with a licensed real estate attorney or your state's real estate commission before closing.

FAQ
Common questions about merging real estate documents
Everything you need to know before combining your transaction files.
Add your real estate PDFs using the tool on this page, drag them into the correct order, and click Merge Real Estate Documents. Your combined PDF downloads instantly — no software or account required.
With RapidTools, yes — because your files never leave your browser. Purchase agreements, financial disclosures, bank statements, and personal information are processed entirely in your browser using JavaScript. Nothing is ever sent to our servers.
You can merge any real estate PDFs including purchase agreements, seller disclosures, addenda, inspection reports, appraisal reports, title commitments, HOA documents, loan estimates, closing disclosures, deed of trust, title insurance policies, and escrow instructions.
The recommended order for a real estate document package is: (1) Purchase agreement, (2) Addenda and amendments, (3) Seller disclosures, (4) Inspection reports, (5) Appraisal report, (6) Title commitment, (7) HOA documents, (8) Loan estimate and closing disclosure, (9) Deed and transfer documents, (10) Final settlement statement (HUD-1 or ALTA).
Absolutely. Real estate agents, brokers, and transaction coordinators use merged PDF packages to share complete transaction documents with clients, lenders, and title companies. The privacy protection is especially important when handling documents containing client SSNs, financial details, and property information.
It depends on your state. California requires the Transfer Disclosure Statement (TDS), Seller Property Questionnaire (SPQ), and Natural Hazard Disclosure (NHD). Texas requires TREC Form OP-H for residential sales. Florida has no mandatory state form but sellers have a common-law duty to disclose all known material defects. New York sellers of most 1–4 family homes must give the buyer a completed Property Condition Disclosure Statement before the contract is signed; the old $500 credit option was removed in 2024. Washington uses Form 17 (the Seller Disclosure Statement). Always verify current requirements with your agent or a real estate attorney — disclosure laws change and penalties for non-disclosure can be severe.
The core documents are the same for most loan types: 2 years of W-2s and federal tax returns, 30 days of pay stubs, 2 months of bank and asset statements (all pages), a signed purchase agreement, and a photo ID. VA loans additionally require a DD-214 and VA Certificate of Eligibility. USDA loans need income eligibility documentation and property eligibility verification. Jumbo loans typically require 12 months of bank statements and documented cash reserves. Merging all required documents into one organized PDF before submission reduces underwriting back-and-forth and speeds up closing timelines.
Real estate wire fraud occurs when criminals intercept email communications and impersonate title companies or escrow agents to redirect closing funds to fraudulent accounts. It is the fastest-growing cybercrime in real estate. Protect yourself: always verify wire instructions by calling a known phone number (not one in the email), never send closing funds based on email instructions alone, and avoid uploading sensitive transaction documents to cloud tools — once uploaded to a third-party server, documents are outside your control. RapidTools processes all files locally in your browser; your documents never touch any server.
