Method 1: Mac Preview (Built-in, No Download)

Preview is macOS's default PDF viewer and handles interactive PDF forms natively. No installation required.

For interactive PDFs (with clickable fields)

  1. Double-click the PDF to open it in Preview.
  2. Preview automatically detects AcroForm fields and highlights them in light blue.
  3. Click any field and type. Tab moves to the next field.
  4. For checkboxes, click to check or uncheck them.
  5. Press Command+S to save. Your entries are embedded in the PDF.

For flat PDFs (scanned forms, print-only PDFs)

  1. Open the PDF in Preview.
  2. Click the Markup toolbar icon (pencil icon in the top-right of the toolbar), or go to View → Show Markup Toolbar.
  3. Click the Text tool (A icon in the toolbar).
  4. Click anywhere on the page where you want to type. A text box appears.
  5. Type your text. Drag the box to reposition it.
  6. Resize the font using the format bar that appears above the text box.
  7. Press Command+S to save.
Preview limitation: Preview does not run the JavaScript embedded in some PDF forms (IRS calculated fields, USCIS barcodes). If a form requires JavaScript for calculated totals or barcodes, fill the text fields in Preview and then open in Adobe Acrobat Reader for Mac to generate barcodes before printing.

Method 2: Browser Tool — Safari or Chrome (Best for Flat PDFs)

This method works equally well for interactive and flat PDFs, and handles large forms more smoothly on older Macs.

  1. Open Safari or Chrome on your Mac.
  2. Go to rapidtools.online/fill-pdf-form.
  3. Drag your PDF onto the upload area, or click to browse and select it.
  4. If the PDF has interactive fields, a green banner confirms the field count. Click any field and type.
  5. If the PDF is flat, a yellow banner appears. Click + Add Text, then click anywhere on the page to place a text box.
  6. Choose font size and text colour from the toolbar.
  7. Click Save & Download PDF. The completed form downloads immediately.

Processing runs entirely in your browser — your file is never sent to any server. This matters for tax forms, medical records, legal documents, and other sensitive PDFs.

Method 3: Adobe Acrobat Reader (Free, Best for Government Forms)

Adobe Acrobat Reader for Mac is free and handles all PDF types including USCIS and IRS forms with embedded JavaScript:

  1. Download Adobe Acrobat Reader DC from adobe.com (free).
  2. Open the PDF in Acrobat Reader.
  3. Click Fill & Sign in the right panel.
  4. Click any form field to fill it. Acrobat runs the embedded JavaScript — calculated fields auto-populate, USCIS barcodes generate automatically.
  5. Go to File → Save As to save a copy.
When to use Adobe Acrobat: Required for USCIS immigration forms (I-485, N-400, I-765) where the 2D DataMatrix barcode must be generated before printing. The barcode generation only runs in Adobe's JavaScript engine. For all other forms, Preview or the browser tool work fine.

Why Preview Sometimes Does Not Show Fillable Fields

Preview shows no highlighted fields when:

  • The PDF is flat — it was created from a scan, exported without field data, or is a print-only version. Solution: use the Markup toolbar text tool, or use the browser tool's + Add Text.
  • The fields use PDF JS actions — calculated fields, barcode fields, and dynamic visibility fields require Adobe's JavaScript engine. Preview cannot run this JavaScript. Solution: use Adobe Acrobat Reader.
  • The PDF is protected — some PDFs are locked against modification. If a padlock icon appears in Preview's toolbar, the PDF may be restricted. Use the browser tool to add text as an overlay (rather than modifying the form data).
