Set page range (optional)

Leave blank to number all pages. Enter "2-" to skip the cover page. Enter a specific range like "3-15" for partial numbering.

Choosing Position, Font Size, and Starting Number

Position guide

Bottom Right

Business reports, contracts, professional presentations.

Top Right

Technical documentation, manuals, reference materials.

Top Center

Some academic styles; less common for body documents.

Bottom Left

Left-bound printed documents; less common digitally.

Top Left

Rarely used — can interfere with headers.

💡 Default recommendation: Bottom center, 10pt, starting at 1. This works for 90% of use cases and meets most court, academic, and professional submission requirements.

Font size guide

10–12pt is standard. Use 10pt for dense documents where you do not want the number to dominate. Use 12pt for presentations or documents that will be printed large.

How to Skip the Cover Page When Numbering

This is the most common numbering requirement for reports, legal documents, and academic papers — a cover page or title page that should not be numbered, followed by content pages starting at "1".

1
In the page range field, enter "2"

This tells the tool to start numbering from page 2 onward. Page 1 (your cover) gets no number.

2
Set starting number to "1"

Page 2 of the PDF will be labeled "1", page 3 labeled "2", and so on.

3
Choose position and click Add Page Numbers

The output will have a clean, unnumbered cover page followed by sequentially numbered content pages.

ℹ️ For documents with multiple unnumbered pages upfront (e.g., cover + table of contents = 3 pages, then content starts on page 4): set page range to "4" and starting number to "1". Pages 1–3 have no numbers; page 4 is labeled "1".

2

Adding Page Numbers on Mac — Why Preview Cannot Do It

Mac's built-in Preview app is excellent for many PDF tasks, but it cannot add page numbers. There is no annotation or header/footer feature in Preview — even in the latest macOS versions.

Your options on Mac without paying for Adobe:

✓
Browser tool in Safari (fastest)

Open rapidtools.online/add-page-numbers-pdf in Safari. No download, no account. Works on any Mac regardless of macOS version.

○
LibreOffice Draw (free, but fiddly)

Open the PDF in LibreOffice Draw, manually add text boxes with page numbers to each page. Works but is time-consuming for multi-page documents.

○
Re-export from Word (if original available)

If you have the original .docx file: open in Word → Insert → Page Number → choose position → File → Save As PDF. This is the best approach if the original source file is available.

3

Adding Page Numbers on Windows

Windows does not include a built-in PDF editor that can add page numbers. Options:

✓
Browser tool in Chrome or Edge

Open rapidtools.online/add-page-numbers-pdf. Upload, configure, download. The fastest free method on Windows.

○
Adobe Acrobat Pro (paid)

Tools → Edit PDF → Header & Footer → Add. Full control over font, size, position, and numbering format including Roman numerals.

4

Adding Page Numbers Before Converting to PDF

If you still have the original document file, this is often the cleanest approach — add page numbers in the source document, then export as PDF.

Microsoft Word

1
Insert → Page Number

Choose Bottom of Page → Plain Number 2 (center) or other positions. A footer is automatically created.

2
To skip the first page

Header & Footer tab → check "Different First Page". The first page gets no number; subsequent pages start from 1 (or your chosen start).

3
File → Save As PDF

Or File → Export → Create PDF/XPS. Page numbers are baked into the PDF.

Google Docs

Insert → Page Numbers → choose format. Then File → Download → PDF Document. Numbers are embedded in the downloaded PDF.

💡 Advantage of this method: If you need to change the numbering later, go back to the source document — much easier than editing a PDF. Only works if you still have the .docx or .gdoc original.
